Operations & Marketing Coordinator
We are looking for a Operations & Marketing Coordinator to support our growing team. This role works closely with the Founder and the Communications Strategist while helping keep business development, operations, and marketing organized across the team.
This is an in office position based in Calgary and works best for someone with an entrepreneurial mindset who takes initiative and is comfortable in a fast paced consulting environment.
What You’ll Do
Operations & Project Coordination

Support the team with project coordination in the company’s project management software
-
Track deadlines, deliverables, and follow ups across projects

Maintain organized project files, documentation, and templates
-
Assist with basic accounting and financial tracking, including invoices, expenses, and project-related financial information

Maintain organized records for invoices, payments, and project documentation

Support coordination with the company’s accounting team
-
Assist with internal financial tracking and reporting using Excel

Help improve internal systems and workflows as the company grows
Business Development & RFP Research Support
- Assist the Communications Strategist with monitoring and tracking RFP opportunities across Canada and the United States
- Maintain internal trackers for opportunities, deadlines, and submissions using Excel and internal systems
- Support proposal preparation and formatting, including layout in Adobe InDesign
- Assist with organizing proposal content and materials for submissions
Conferences & Industry Engagement
- Research conferences, speaking opportunities, and industry events
- Assist with travel logistics and preparation for conferences and meetings
- Attend select conferences and events when needed to support the team
Marketing & Communications
- Support development of marketing materials, including presentations and reports
- Assist with LinkedIn and social media content planning and posting
- Maintain brand consistency across company documents and communications
You know that long boring education you are suffering through:
- Degree or diploma in Marketing, Communications, Business, Architecture, Interior Design, or a related field, or equivalent professional experience and or
- 3+ years of relevant experience, ideally in professional services, consulting, architecture, engineering, or design firms
- Experience supporting proposal submissions, RFP responses, or client presentations is considered an asset
- Experience working in professional services marketing or business development is an asset
Core Skills
- Strong Excel skills and comfort working with data and tracking systems
- Experience using Adobe InDesign
- Strong writing, editing, and proofreading skills with attention to detail
- Strong research and information gathering skills
- Excellent organizational and time management skills
- Ability to manage multiple deadlines and shifting priorities
- Ability to work independently while supporting a collaborative team environment
- Basic accounting knowledge and comfort working with financial tracking is strongly preferred
- Entrepreneurial mindset and ability to take initiative
Bonus Skills
- Experience with website design or digital marketing tools
- Knowledge of website accessibility standards
- Familiarity with the architecture, engineering, or construction industry
- Accessibility related certifications such as Rick Hansen Foundation Accessibility Certification
- WELL AP or other built environment credentials
- Project management certification
Additional Requirements
- Interest in architecture, venues, accessibility, or the built environment is an asset
- Valid passport and availability to travel within North America when required
Universal Design Consultant
In this exciting role, you will be responsible for directly working with the Lead Consultant & Team. The ideal candidate will have excellent written and oral communication skills, a positive outgoing personality, and strong client relationship skills
Responsibilities:
- Provide accessibility consultation for ongoing projects through architectural drawing markups
- Attend client meetings and assist with the determination of project requirements
- Create extensive reports based on data provided by clients
- Define complex problems, collect data, draw valid conclusions and prepare appropriate reports base on accessible best practices
- Assist Lead Accessibility Strategist with reporting, presentations, and research
- Collect meeting minutes / takeaways from meetings and phone calls
- Assist in site audits
- Adaptable – no day is the same!
- Assist in organizing LPF Events and Seminars
- Attend conferences and events as needed
- Work with an interdisciplinary team to deliver projects on time and budget
You know that long boring education you are suffering through:
- Diploma or Degree in Urban Planning, Architecture, Interior Design, Communications or any other related discipline
Bonus:
- Rick Hansen Foundation Accessibility Certification
- WELL AP Certification
Requirements:

Minimum 2 years experience in architecture, ID, urban planning etc.
- Excellent knowledge of Adobe InDesign and Microsoft Office to create reports, proposals, and other supporting documents
- Knowledge of accessible building codes/guidelines and ongoing current understanding of all relevant accessibility standards
- Strong writing skills for producing extensive reports
- Strong interpersonal and communication skills
- Ability to read and interpret high-detail construction documents
- Ability to perform site visits to collect the necessary data as part of the scope of work
- Strong organizational, multi-tasking, and prioritization skills
- Strong creativity in visual communications
- Must have an entrepreneurial work ethic with the ability to work independently
- Ability to travel within Canada to audit sites and meet with clients
